Prior to Event
-
Secure facility (school, church, community building,
with enough rooms to conduct the event).

Reserve rooms
Twelve rooms
if one per category is used (more or less may be needed depending on expected
participants and number of categories judged in each
room.)
Arrange for equipment.
Commercial participants may need to
arrange space according to their “commercial.
Short Take preparation will include having topics
prepared to be drawn and have file cards and pencils
for their use.
Broadcasting area may be staged to resemble a radio booth if you wish. Ideas:
borrow a microphone; set up a display board with fabric over it to resemble a
radio booth.
Demonstration rooms will need
a table or desktop, easel for posters, a second table behind demonstrator
is helpful.
Food demonstrations may require access to
kitchen facilities for preparation.
Illustrated talks will need an easel, and
maybe a table or desktop.
Public speaking, interpretive
reading can use a podium (although they can be done without them if not
available).
Presentation
software and web site design will need
computer/projector.
Video production
will need equipment to play VHS or DVD media.
All areas need - room signs,
identifying categories and list of participants (post outside of the room).

Find and assign judges, or for
MPU - request from all counties participating to provide one or more judges as
appropriate. Each room needs at least two judges.

Invite sponsors to attend event.
Invite sponsor(s) to judge.
Invite sponsor(s) to help distribute awards at close of
event.

Assign a host to each room.
You might use volunteers or teen leaders. Room hosts may be from your county or
for MPU - request that each county provide one or more. Room hosts will keep
room in order, quiet during each presentation, introduce presenter, time
each presentation, keep door shut to prevent distraction during
presentations and check off completed presentations outside the door.

Collect registrations and set up schedule (time and
room).

Prepare a program schedule
for the day. For MPU event, if time is available, send a copy to each county
before the event. Provide a copy to the North Dakota Center for 4-H Youth
Development.

Each county in the MPU will
send the two evaluation forms/participant to host agent for the MPU event with
basic information on the participant completed, two weeks before the MPU event.
During the Event
-
Coordinate or present a short orientation for the
judges.

Coordinate
awards presentations (introductions, thank yous,
photos).
After the Event
-
Complete winner summary from the county/MPU. County
event - please forward on to MPU host. MPU event -
give to state staff at the event, or mail to the
North Dakota Center for 4-H Youth Development the
next working day following the event.

Follow up with appropriate thank yous (to judges,
facility and sponsors).
